How the formula works

Employees per HR person = employees ÷ HR people. HR people per 100 employees = HR people ÷ employees × 100.

What the number means

One HR person for 80 employees is 80 to 1, which is 1.25 HR people per 100 employees. A lower number of employees per HR person means a larger HR team for the size of the company. The right size depends on how much of payroll, recruiting, and management sits with HR. A company that buys those services will run a higher employees-per-HR number and is not automatically under-served.

Questions

Who counts as an HR person?

People whose job is HR. A manager who approves leave does not, unless you want a ratio of everyone who does HR work. Part-time HR can be entered as a fraction if you first convert them with the FTE calculator and use that count.

Should executives be in the employee count?

Include the people HR actually supports. Excluding a group makes the ratio look more generous. Say who is in the count.

What is a normal ratio?

Published ranges vary with the country and the industry, and they go stale. Track your own ratio when the work changes, for example when you bring payroll in house.
