PTO balance calculator

Calculate the PTO balance left by subtracting days already taken from the allowance.

How the formula works

Days remaining = allowance − days already taken.

What the number means

The balance can be negative. A negative result means more days have been taken than the allowance you entered. This does not accrue by month and it does not apply a carry-over cap. Enter the allowance that applies today, after any accrual or pro-rating you have already done.

Worked examples

Eight days used from 25

25 − 8.

17 days remaining

More taken than the allowance

20 − 23.

−3 days

Questions

Should booked future leave be in “days already taken”?

Include it if you want the balance after those bookings. Leave it out if you want the balance as of today, with future leave still available to move.

How do I get the allowance for someone who started recently?

Use the annual leave accrual calculator or the pro-rata salary approach for days, then put that allowance here.

What happens to days still left at year end?

The leave carry-over calculator applies a cap to unused days. This page does not.
