Annual leave accrual calculator

Calculate accrued annual leave from a yearly allowance and the months completed in the leave year.

How the formula works

Days accrued = annual allowance ÷ 12 × months completed. Monthly accrual = annual allowance ÷ 12.

What the number means

The year is split into 12 equal parts. Six months of a 25-day allowance is 12.5 days. It does not look at the calendar, a start date, or days already booked. A policy that accrues by hours, or that gives the full allowance on day one, will not match this number. Use the method written in the leave policy.

Worked examples

Halfway through a 25-day year

25 ÷ 12 is about 2.1 days a month. Six months is 25 ÷ 12 × 6.

12.5 days accrued

A 28-day allowance after three months

28 ÷ 12 × 3.

7 days

Questions

Do I count the month someone started?

If they started on the first day, that month is complete at the end of it. If they started later, either count only whole months or move to the pro-rata salary style and use days. The policy should say which.

Does this subtract leave already taken?

No. This is what has accrued. The PTO balance calculator subtracts days taken from an allowance.

What about a part-time week?

Accrue the full-time allowance, then scale it with the part-time holiday calculator. Or enter the part-time allowance here directly if you already know it.
